How to choose a real estate CRM in Pakistan: a buyer's checklist
What to check before buying a real estate CRM in Pakistan: lead ads, WhatsApp, lead distribution, local units, owner control, mobile, data and support.

Judge a real estate CRM on how Pakistani agencies sell: Meta and TikTok lead ads, WhatsApp, fair lead distribution, marla and kanal, owner approval of sales, a mobile app, and local onboarding. Test it with your own leads before you commit.
Most "best CRM" lists are written for US brokers who work by email. Property sales in Pakistan look different: leads come from Facebook, Instagram and TikTok ads, conversations happen on WhatsApp, inventory is plots, files and houses measured in marla and kanal, and the owner wants to sign off on every deal.
Use this checklist to compare any real estate CRM, including ours, against how your agency works.
Which kind of real estate CRM does your agency need?
There's no single best real estate CRM in Pakistan, because agencies need different things. If you're a housing society or developer managing files, installments and balloting, you need a real estate ERP. If you're a property dealer or agency that gets leads from Facebook, Instagram and TikTok ads and sells on WhatsApp, you need a lead-focused CRM, often sold as property dealer software: fast lead capture, fair assignment, a shared WhatsApp inbox and owner control. The checklist below helps you tell which is which, whichever vendor you choose.
1. Lead capture from your real sources
Ask how each source gets into the CRM:
- Facebook and Instagram lead ads: real-time capture through Meta's webhook, not a daily CSV import.
- TikTok lead ads, if you run them.
- WhatsApp: does a new chat become a lead automatically?
- Your website: a form or embed that keeps UTM tags and click IDs.
- Walk-ins and referrals added by hand.
A CSV or Excel import helps you migrate old leads (BrokLeads has one, with duplicate checks: see lead import), but it shouldn't be how new leads arrive. New ad leads should come in through Meta's webhook in real time, because delays lose buyers. Our guide to Facebook lead ads explains why.
2. Lead distribution that's fast and fair
Leads should be assigned the moment they arrive, without a manager in the loop. Check for:
- Round-robin assignment, ideally per campaign or project.
- Optional rules for teams split by budget, city or language, ideally with a way to test a rule before it goes live. See lead routing rules.
- Caps, so one agent isn't buried while others wait.
- Skipping agents who are inactive or not taking leads.
- An assignment history, so you can see who got which lead and when.
See round-robin vs manual lead assignment for the trade-offs.
3. WhatsApp built in, not bolted on
For most Pakistani agencies this matters more than anything else on the list. Look for a shared inbox on the official WhatsApp Business Platform, chats linked to leads, templates for follow-ups after 24 hours, and chats that stay with the agency when an agent leaves. More in our WhatsApp CRM guide.
4. Inventory in the market's language
A CRM that only knows "square feet" and "deals" will fight you. Check for:
- Property types you sell: plots, plot files, houses, apartments, commercial.
- Area units: marla, kanal and square feet, plus square yards in Karachi.
- Locations by society, phase and block.
- Bulk upload from your existing inventory sheet.
Each city has its own habits. We cover them in our guides to a real estate CRM for Lahore, for Karachi and for Islamabad and Rawalpindi.
5. Owner control
Agency owners need sales they can trust. Ask whether closed sales need the owner's approval before they count, whether owners can approve from their phone, and whether revenue can be kept to owners only.
6. Reports that answer real questions
You should be able to see, without exporting anything:
- Leads, pipeline stages, deals and conversion per agent.
- Overdue follow-ups per agent.
- Ad spend and cost per lead per campaign.
7. A mobile app agents will use
Agents are in the field, not at desks. A mobile app with push alerts for new leads, WhatsApp replies and follow-ups is the difference between a call in two minutes and a call in two hours.
8. Your data, your agency
Check who can see what. Agents should see their own leads; owners and managers see everything. Ask how you would get your data out if you ever left.
9. Onboarding and support you can reach
Setup includes connecting Facebook pages, a WhatsApp number and TikTok, and training agents. Ask who does it, whether it costs extra, and whether support understands the Pakistani market and works in your time zone.
10. Pricing that fits how you grow
Ask how pricing scales with users and branches, and what's included: WhatsApp messaging costs from Meta are usually separate. Get the quote in writing for your team size.
If you're still on spreadsheets and WhatsApp groups, start with what changes when you move to a CRM.
