WhatsApp Business app vs API: which does your team need?

The WhatsApp Business app is free and ideal for one person. The API is what lets a sales team share one number, but it costs money per message and needs a platform to use it. Here's how they compare, and where BrokLeads fits.

Quick answer

What is the difference between the WhatsApp Business app and the API?

The app is free, runs on one phone plus a few linked devices, and every reply is typed by hand. The API has no app of its own: through a platform such as BrokLeads, a whole team shares one number, sends approved templates, uses auto-replies and links chats to a CRM, and Meta charges per message.

WhatsApp Business APIMeta's official Cloud API. It has no app of its own, so what your team gets depends on the platform you use it through, and Meta charges per message.

Getting started

Moving a team to the API, in three steps

  1. 01

    Decide on the number

Use a new number, or plan to delete your current number from the WhatsApp Business app. Chat history in the app doesn't move to the API.

  2. 02

    Connect through Embedded Signup

On a free video call, connect the number to your Meta business portfolio, set the display name and add a payment method for Meta's fees.

  3. 03

    Templates, auto-replies and team

Submit your first templates, set up automation rules such as an after-hours reply, and invite your agents, then connect your lead ads.

The short version

When should a growing team switch to the API?

Stay on the app while one or two people can answer every chat and you rarely need to message customers who haven't written in the last day. It's free, familiar, and has handy tools like labels, quick replies and broadcast lists. Switch when chats start getting missed, when you need to know who answered whom, or when leads from Facebook, Instagram and TikTok ads need to reach an agent automatically.

The trade-offs are real. The API costs money per message: Meta charges by category and country, and from 1 October 2026 it also charges for service replies. Through BrokLeads the number can't stay on the app at the same time, and there is no free-form chatbot builder, though a manager can send an approved template to a saved audience of contacts who agreed to receive it. What you get is a shared team inbox, automation rules, automatic lead assignment and a CRM; the WhatsApp Business API guide covers setup and costs in detail.

FAQ

WhatsApp app vs API questions

Is the WhatsApp Business app free?

Yes. The WhatsApp Business app is free to download and use, including labels, quick replies, greeting and away messages and broadcast lists. Its limit is people: it's built for one phone plus a few linked devices.

Is the WhatsApp Business API free or paid?

Paid, per message. Meta doesn't charge to access the Cloud API, but it charges per template message by category and the recipient's country, and from 1 October 2026 for service replies too. You also pay for the platform, such as BrokLeads per user. For Meta's rates for numbers in Pakistan with monthly estimates by team size, see WhatsApp messaging costs.

Can I use the same number on the app and the API?

Not through BrokLeads today. A number connected to the API through BrokLeads can't also be used in the WhatsApp Business app, and chat history in the app doesn't transfer. Meta offers coexistence through some providers; BrokLeads doesn't support it yet.

Can multiple people use one WhatsApp Business number?

On the app, only through a few linked devices, with everyone seeing every chat. On the API, through a platform like BrokLeads, the whole team works from one shared inbox and each chat is assigned to one agent.

Does BrokLeads have broadcasts or a chatbot?

Broadcasts yes, enabled for your workspace on request, a chatbot builder no. A manager saves an audience, checks how many will receive the message and who is excluded, then sends an approved template now or schedules it; only contacts with recorded marketing consent are included, up to a cap per broadcast (see WhatsApp broadcasts). BrokLeads also has guided reply-button flows that ask fixed questions and save the answers on the lead, but not a free-form, drag-and-drop chatbot builder. If large cold-list campaigns or open-ended chatbots are what you need, a dedicated WhatsApp marketing platform is a better fit.
