How fast should you reply to a real estate lead?
Speed to lead in real estate: why the first hour decides property leads, what slows Pakistani agencies down, and how to reply to every lead in minutes.

Reply within minutes, not hours. The biggest delays come from leads waiting to be downloaded, forwarded and claimed — so automate capture and assignment, and give agents alerts on their phone.
When someone fills in your Facebook lead form, they are thinking about property right now. They may have filled in three other agencies' forms in the same ten minutes. The agent who calls first usually gets the conversation — and often the deal.
The first hour decides most leads
Research on online sales leads has shown for years that speed matters enormously. A widely cited Harvard Business Review study ("The Short Life of Online Sales Leads", 2011) found that companies which tried to contact a lead within an hour were nearly seven times as likely to qualify that lead as companies that waited longer — and dramatically more likely than those that waited a day or more.
Real estate is no different. A buyer who enquired about a plot in DHA or Bahria Town on Saturday morning has usually spoken to someone by Saturday afternoon. In Lahore, Islamabad and Karachi, the same buyer often fills in forms for several agencies selling the same society. If the first call isn't yours, you're competing for attention instead of starting the conversation.
Where the time actually goes
Most agencies don't reply slowly because agents are lazy. They reply slowly because of the steps between the lead arriving and an agent seeing it:
- Downloading leads. Someone exports the Facebook leads to a spreadsheet a few times a day.
- Forwarding. The leads are pasted into a WhatsApp group for agents to pick up.
- Claiming. Agents argue about — or ignore — who takes which lead.
- Context switching. An agent at a site visit doesn't see the group until hours later.
Each step adds minutes or hours, and every one of them is avoidable.
A system that replies in minutes
1. Capture leads automatically
Connect your Facebook Pages, TikTok account and website form directly to your CRM so leads arrive the moment they're submitted — with the campaign and form they came from. No downloads, no copy-paste. Our guide to Facebook lead ads in Pakistan covers the setup.
2. Assign instantly and fairly
Decide the rule once instead of every time. A round-robin rule gives each available agent the next lead in turn, so nobody has to claim anything and no lead sits unassigned.
3. Alert the agent on their phone
The assigned agent should get a push notification immediately — not a message buried in a busy group chat. That's the difference between a call in two minutes and a call in two hours.
4. Make the first reply easy
Many Pakistani buyers answer WhatsApp faster than a call from an unknown number. Having WhatsApp in the same place as the lead — and an automatic greeting for new enquiries — means the lead hears from you even before an agent picks up the phone. See WhatsApp CRM for real estate: app vs API.
Measure it, or it slips
Speed is a habit, and habits slip without feedback. Track two things weekly:
- Leads with no follow-up — any lead that was assigned but never contacted.
- Overdue follow-ups per agent — the leads that went cold after a first call.
Share these numbers with the team. Agents who can see their own follow-up discipline usually fix it themselves.
What to do this week
You can't control how many agencies a buyer contacts. You can control how fast you reply. Automate capture and assignment, put alerts on every agent's phone, and review follow-ups weekly — and you'll be first in the conversation far more often.
